The client is responsible for reviewing the pilot output carefully and providing clear feedback. Approval of a pilot batch means the client accepts the format, interpretation and workflow unless changes are clearly communicated before full production begins.
If project instructions change after pilot approval, additional time, cost or rework charges may apply depending on the nature of the change.
5. Client Responsibilities
The client is responsible for providing clear instructions, readable source files, required templates, access details where applicable, formatting rules, validation requirements, deadline expectations and any special handling instructions before production starts.
The client must ensure that they have the right to share the files, data, images, documents, records or access credentials provided to us. The client is also responsible for confirming whether the data includes confidential, regulated, sensitive, personal, healthcare, financial or legally restricted information that requires special handling.
If instructions are incomplete, unclear or conflicting, we may ask for clarification. Delays in receiving clarification, access, files, approvals or feedback may affect delivery timelines.
6. Project Scope and Change Requests

8. Turnaround Time and Delivery

We aim to meet agreed deadlines, but timelines may change if source files are poor quality, instructions are revised, additional work is added, access is delayed or client clarification is pending.
Delivery may be made through email, secure link, cloud folder, client portal or another agreed method. The client should review delivered files promptly and notify us of any issues within the agreed review period or, if no period is specified, within a reasonable time after delivery.
9. Quality Review and Corrections
We aim to deliver accurate and usable output based on the agreed instructions and source quality. However, data entry and data processing work may involve human judgement, unclear source content, inconsistent files, unreadable scans, missing information or conflicting records.
If an error is caused by our failure to follow agreed instructions, we will make reasonable corrections within the project scope. Correction requests must be specific and should identify the file, row, field, record or issue clearly. General dissatisfaction without specific examples may not be sufficient to classify work as incorrect.
Corrections caused by unclear instructions, changed requirements, poor source data, client template errors or new rules introduced after approval may be treated as additional work.
10. Accuracy Expectations and Source Quality
Accuracy depends on several factors, including source readability, completeness, consistency, data complexity, instruction clarity and review process. We do not guarantee perfect output when source material is unclear, incomplete, damaged, handwritten, inconsistent or contradictory.
Where data is missing, unclear or conflicting, we may flag exceptions instead of guessing. Exception reporting protects the client by showing records that require client decision. The client remains responsible for final business use, approval and interpretation of the delivered data.
11. Confidentiality and Data Handling
We treat client files and project instructions as confidential business information. We do not sell, rent or share client project data for unrelated commercial purposes. Access to project files is limited to authorised personnel who need the information to complete, check or manage the work.
If a project requires a non-disclosure agreement, restricted access, special transfer method, limited retention, deletion confirmation or additional handling controls, the client should communicate this before sharing sensitive files or approving production.
12. Client Data Ownership
The client retains ownership of the source files, business data, documents, images, records and materials provided to us. The client also owns the final output created specifically for the client after full payment has been received, unless otherwise agreed in writing.
We may retain limited project records, communication history, invoices, samples or delivery references for business, quality, legal, accounting or support purposes, subject to our Privacy Policy and any specific written agreement with the client.

Our total liability for a specific project will not exceed the amount paid to us for the portion of the work giving rise to the claim, unless a separate written agreement states otherwise. The client is responsible for reviewing and approving final output before using it for critical business, legal, financial, medical or operational decisions.
16. No Guarantee of Business Results
We provide professional data entry and back-office support services, but we do not guarantee specific business outcomes such as increased sales, improved rankings, successful marketplace approvals, regulatory acceptance, financial results or third-party platform decisions. Our responsibility is limited to performing the agreed work according to the agreed scope and instructions.
17. Third-Party Tools, Platforms and Links
Some projects may involve client systems, third-party portals, CRMs, marketplaces, cloud folders or software platforms. We are not responsible for downtime, restrictions, errors, policy changes, upload failures or access problems caused by third-party platforms. If a third-party platform changes its format, rules or access conditions, project scope or timeline may need to be revised.

18. Termination or Suspension of Services
Either party may discontinue a project or service relationship subject to the agreed payment, delivery and notice terms. We may suspend or terminate work if the client fails to pay, provides unlawful material, misuses our services, delays essential approvals, changes scope repeatedly without agreement or violates these Terms and Conditions.
If a project is cancelled after work has started, charges may apply for completed work, reserved capacity, project setup, pilot processing, partial delivery or time already spent.
